Prefer your own mail client?

Formal legal and privacy notices have their own named addresses, written into the Terms of Service and Privacy Policy.

Response times: within one business day on every plan, usually a few hours on Pro and Enterprise. We don't run a phone queue and we never require a sales call — the free trial needs no card and no conversation.

Candidates: if you're taking an assessment and something went wrong, use the form and include the link you were sent. Your results belong to the employer who invited you, so questions about your application itself go to them.

How the email CC integration works

You already have a mailbox where applications land. Rather than make you change that, Hirovia gives your account a private intake address. Anything you cc or forward to it becomes an assessed candidate.

Find your intake address

It's on your Invites page and looks like apply-xxxxxxxxxx@inbox.hirovia.com. It's unique to your account — treat it like a password and don't publish it.

Cc it, or forward to it

Add it to the cc line of your job-board notifications, set a forwarding rule in Gmail or Outlook, or forward applications by hand. Any of the three works.

Hirovia reads the message

It identifies the applicant, matches the position from the subject line, and saves any attached résumé straight onto the candidate record.

The candidate is invited

They get one email under your company's name with their unique assessment link. When they finish, they appear ranked on your dashboard.

To / Cc Finds your intake address to know which account the application belongs to. If it isn't in either line, nothing happens — that's what keeps other people's mail out of your account.
Subject Determines the position. A tag in brackets wins — [cam] — otherwise the position title written out, like "Corporate Accounts Manager". No match falls back to your default position from Settings.
From Used as the applicant when they cc'd you directly. If your team forwarded the message, Hirovia reads the original From: line inside the forwarded body instead.
Attachments The first PDF, DOCX, TXT, RTF or MD is stored as the résumé and its text is extracted for AI evaluation. Images and signatures are ignored.
Everything else Discarded. Hirovia keeps the sender, the subject and the résumé — not the message body.
Nothing gets silently lost

Every inbound message is logged on your Invites page with what happened to it — invited, duplicate, position unknown, or applicant not identified — so you can fix and re-send.

Duplicates are handled

If the same person is already invited for the same position and hasn't finished, Hirovia logs it and does not create a second record or a second email.

Intake never costs extra

Invitations are free however they're created. You're charged only for assessments a candidate actually completes.

Frequently asked

How do I set up email intake?

Copy the intake address from your Invites page, then either add it to the cc line when you email applications internally, or create a forwarding rule in your mail client. In Gmail: Settings → Filters → create a filter on your careers address → "Forward it to" your intake address. In Outlook: Rules → apply to messages sent to your careers address → "redirect to people or public group". Set a default position in Settings so anything without a recognisable subject still routes.

Can I use a different position per job board?

Yes. Put the position tag in the subject line — [cam], [ops] — and Hirovia routes on that. Most boards let you set a custom subject on notification emails. If you can't control the subject, use one default position and re-assign the occasional stray from the dashboard.

What if my applications arrive as a daily digest with several candidates?

Digest emails don't work with intake — one email creates one candidate. Configure your board to send individual notifications, or use bulk invitations instead: paste a list of Name, email lines into the Invites page and everyone gets a unique link at once.

Is the intake address safe to publish on our careers page?

No — anyone emailing it would create candidates in your account. Publish your white-label portal link instead, which is designed to be public and collects the applicant's details properly. Keep the intake address inside your team and your mail rules.

Do I have to change how I post jobs?

No. Post wherever you already post. Route the applications you receive to Hirovia by cc, bulk upload, or your branded portal — those are three ways into the same place.

Can candidates be invited without email at all?

Yes. Every invitation also produces a link you can copy and send however you like — SMS, WhatsApp, your ATS, a mail merge. Turn off automatic emailing in Settings if you'd rather always send links yourself.

What does a candidate actually receive?

One email, under your company's name, with their unique assessment link. No account to create, no payment, no marketing follow-up. The assessment takes about 30 minutes and saves as they go.

How do I get my data out?

Export CSV from the dashboard at any time — every candidate, score, band and validity flag. For a full account export or deletion, send a request through the form above choosing Privacy or data request, and see the Privacy Policy for how candidate requests are handled.

Do you offer a DPA or security review?

Yes — use the form above and choose Something else, or write to the address named in the Terms of Service. For the standard terms that already apply to your account, the Terms are the reference.

Something is broken. What should I include?

The page you were on, what you expected, and the candidate's name or invitation link if it relates to one person. Screenshots help. The form above reaches support directly.

Why don't you just print your email address?

Address-harvesting bots crawl contact pages continuously, and an address published in plain HTML starts receiving spam within days. The form reaches the same inbox, and the button above will hand you the address if you'd rather write from your own mail client. Named addresses for formal legal and privacy notices are in the Terms and Privacy Policy, where they belong.
